Job Description

JOB SUMMARY

This full-time position is responsible for all administrative student services support, including but not limited to, extended site staff.

Responsible for assisting in administrative activities to support new student recruitment and current student support activities.

DUTIES & RESPONSIBILITIES

  • Greet students and site visitors and provide appropriate guidance and customer service
  • Manage incoming site phone calls
  • Schedule interviews with potential students
  • Make follow up calls to prospective students
  • Maintain working files for potential students

Planning and Coordination

  • Receive, prepare and route incoming mail and faxes
  • Maintain and manage individual and group scheduling and calendars, both internally and during travel
  • Coordinate and arrange meetings internally and externally
  • Prepare agendas for meetings and conference calls
  • Attend meetings as needed; take, prepare and distribute minutes to appropriate individuals
  • Compose all necessary written correspondence including letters, memos and emails
  • Proofread documents and prepare for distribution
  • Coordinate and prepare presentations
  • Manage office supply inventory and submit order requests to Regional Site Director for approval

Site Staff Support

  • Assist Admissions team with data entry into the leads system
  • Assist the Director of Nursing Education and Nursing Education faculty with daily operations
  • Prepare materials for admissions interviews and other site events
  • Relieve management of clerical work, minor administrative and business details
  • Serve as back-up exam proctor, as needed
  • Coordinate workflow and make sure deadlines are met

EDUCATION, EXPERIENCE & QUALIFICATIONS

  • Strong customer service skills
  • Exercise independent judgment and critical thinking skills to solve unusual administrative problems
  • High degree of professionalism and confidentiality
  • Advanced knowledge of standard versions of MS Word, Excel, PowerPoint, Outlook and other relevant software
  • Ability to navigate internet, intranet, leads system and the University partner's student record database
  • Use technical equipment appropriately

  • Ability to prioritize and juggle responsibilities and to solve simple to moderately complex problems
  • Strong organizational skills and attention to detail
  • Outstanding written and verbal communication skills
  • Ability to work autonomously
  • Desire to work in a fast-paced team environment
  • Must possess ability to work with many different personalities

Experience

  • Experience in admissions or student services support preferred

Education and Certification

  • Associate's degree, preferred
